Which AI tools are worth paying for?
There's a new AI tool every week and most of them want a monthly fee. It adds up fast, and a lot of them are a thin layer over the same few models anyway.
Start with one general assistant
For most small businesses, one of ChatGPT, Claude or Gemini covers most of what you'll want. Emails, quotes, social posts, summarising a long document, working out how to reply to a tricky customer. Start on the free version and pay the roughly US$20 a month once you keep hitting the limits.
Where free is fine
Meeting notes, the odd image, checking your spelling. The free versions are usually plenty, and so is the AI that's now built into things you already pay for. Microsoft 365 and Google Workspace both have it.
When something specialised is worth it
If a tool does one job in your business really well and saves you real hours every week, pay for it. A booking system that answers enquiries overnight, say, or accounting software that codes your receipts for you. The test I use is whether you'd notice if you stopped paying.
Ask these before you sign up
- What does it do that ChatGPT on its own doesn't?
- Where does my data go, and is it used for training?
- Can I cancel monthly, or am I locked in for a year?
- If I leave, can I take my stuff with me?
If the answer to the first one is vague, I'd keep my card in my wallet.
